About the role
Join our dynamic team as a Bilingual HR Operations Coordinator! In this role, you'll ensure the accurate and timely processing of employee transactions by validating requests for completeness, required approvals, and data accuracy. You’ll maintain the integrity and confidentiality of HR data and records, ensuring all transactions comply with company policies, established procedures, and applicable legislation. You’ll also maintain complete, accurate, and well-organized electronic employee files, proactively identify discrepancies, and resolve incomplete or inaccurate submissions to support data integrity, compliance, and payroll accuracy. Working collaboratively with cross-functional teams and leaders, you’ll facilitate seamless employee transactions, and provide clear, timely, professional follow-up to deliver an exceptional manager and employee experience. You’ll also support the continuous improvement of HR operations by identifying inefficiencies and recommending improvements to enhance operational efficiency. This position is based at our Home Office in Calgary, Alberta. What You’ll Do Receive, review, and track HR Action Forms and Change of Status Forms, validating each request for completeness, accuracy, required approvals, effective dates, and supporting documentation before processing Follow up with submitters, managers, People & Culture partners to resolve missing, unclear, or conflicting information, confirming payroll-impacting details (including compensation, effective dates, employment status, hours, and location changes) are complete before processing Enter approved employee changes into the HRIS accurately and within established timelines, maintaining visibility into submitted, pending, returned, and completed transactions Escalate unusual, high-risk, or policy-sensitive requests to the appropriate People & Culture partner or leader, ensuring compliance with company policies and procedures Maintain accurate employee records in the HRIS, including job, reporting, compensation, location, status, hours, and employment changes, and support HRIS data clean-up and correction activities as needed Identifying recurring data issues, form errors, and process gaps and flag them for improvements. Handle employee information confidentially and in accordance with privacy and records management requirements Maintain accurate and organized electronic employee files by saving approved HR Action Forms, Change of Status Forms, letters, and supporting documentation in the appropriate employee records using established naming conventions and folder structures. Support periodic file clean-up and completeness checks, maintaining confidentiality and appropriate access controls for employee documentation Track common form issues, missing information, approval gaps, and recurring submitter errors, provide practical feedback to improve form clarity, instructions, routing, and manager usability Support updates to process guides, checklists, and standard operating procedures as directed, recommend simple improvements that reduce rework, delays, and data-entry errors Support routine employee lifecycle transactions, including onboarding, internal transfers, leaves, employment status changes, and terminations, partnering with Payroll on transaction-related questions where employee changes may impact pay Respond to routine HR operations inquiries, redirecting questions to the appropriate team member, and provide support for HR operations projects, clean-up activities, and other ad hoc initiatives as required Perform other duties as assigned to support the team and organizational goals What Do You Bring Bilingualism English/French Diploma or degree in HR, Payroll, Accounting, Finance, or a related field HR or Payroll certification (CPP, PCP, or equivalent) 1–3 years of experience in HR administration, HR operations, payroll administration, or a related administrative role Proficiency using HRIS, payroll systems, or employee databases Experience managing forms, spreadsheets, reports, electronic records, and standardized processes Strong administrative, organizational, and documentation skills with a high level of attention to detail and accuracy Ability to maintain accurate employee records and process sensitive information efficiently, ensuring data integrity and compliance with established procedures Ability to handle confidential and sensitive employee information with discretion, professionalism, and sound judgment while maintaining privacy and compliance requirements Outstanding oral and written communication skills Ability to multi-task and thrive in a fast-paced environment A collaborative, adaptable, and proactive team player with a growth mindset, able to manage changing priorities effectively How You'll Benefit A comprehensive total rewards package, including two free pairs of glasses and lenses per year A coaching culture that fosters ongoing growth and development opportunities A people-first culture, (but dogs are also welcome) An organization that gives back locally and nationally, and supports you in doing so as well Why You Should Join Us FYihealth group is Canada's leading diversified healthcare organization comprised of FYidoctors, Visique, BonLook, and solis optics.
