AREA OF RESPONSIBILITY:

Reporting to the Coordinator Recreation Programs, this position provides direct supervision to contract, part-time and volunteer support staff to ensure quality program delivery and excellent customer service to meet current and changing needs of the community

1. Supervision of support staff

  • Recruit, hires, trains and provides ongoing Supervision, Leadership, Coaching, Evaluation, and Recognition to part-time and volunteers
  • Development of part-time staff and volunteers through seasonal trainings, and ongoing coaching and feedback
  • Implement and deliver ongoing communication plan to direct reports
  • Provide advice, guidance, direction and supervision to part time recreation staff and volunteers in the delivery of programs, services and/or special events.
  • Implement and deliver ongoing communication plan to direct reports
  • Maintain corporate, departmental, and divisional standards
  • Ensures compliance governing legislations and regulations; corporate policies, procedures, standards and guidelines; governing body’s standards and guidelines.
  • Perform “Supervisor on Duty” coverage and manage emergency situations.
  • Develop and deliver proactive and strategic recruitment and retention plan for part-time staff and volunteers
  • Evaluate training needs, and manage execution of staff trainings, orientations and meetings
  • Provide disciplinary action as required, up to and including termination
  • Complete all documentation for all part time staff coaching, discipline, feedback and training
  • Ensure due diligence is carried out in all areas of program risk management
  • Is visible for regular interaction with the public and customers
  • Respond and assist with on-site emergencies (incidents and accidents)
  • Adhere to all Health and Safety guidelines and regulations for staff, volunteers, and patrons of the facility
  • Complete program visitations to ensure consistent program delivery, staff and team follow-up and to monitor program, /customer expectations

2. Administration

  • Approve part-time payroll entry in accordance with staff schedules
  • Prepares for and follow-up on incident/accidents reporting and communicate timely bases on severity, applying appropriate follow-up actions and guidance with teams, volunteers and customers; modifying programs and services to ensure safely operating programs and services.
  • Sessional reporting and review of program capacities on collection and analysis of data, customer satisfaction, revenue and expenses.
  • Compile and review daily, weekly and sessional statistics and checklists
  • Timely follow-up on program related refund requests
  • Adherence to all mandated program reporting/statistical deadlines
  • Participation in quality assurance program facility visits and checks as required
  • Develop and monitor staff and volunteer schedules sessionally according to program needs
  • Proactive planning of upcoming program sessions
  • Ensure program plans are created, communicated, and available for all program staff
  • Documentation of staff and volunteer trainings; ongoing monitoring of staff certifications, maintaining staff files and ensuring staff certifications remain current
  • Ensure all staff hiring packages are completed in a timely manner
  • Coordinate payments/documentation for all invoices in accordance to corporate standards

3. Customer Service and Community Development

  • Timely and appropriate follow-up with customer concerns, requests, and inquiries
  • Develop strategies to increase customer recruitment and retention
  • Planning and delivering community special events in collaboration with facility and/or special events team.
  • Promote and create awareness of programs, services and/or events
  • Liaising with internal and external groups as required related to programs, services and special events
  • Resolves program customer concerns, and provides background information for escalated customer issues for resolution
  • Foster and maintain ongoing excellent relationships with community partners

4. Program Development

  • Ongoing research, acquiring knowledge and expertise related to industry trends pertinent to portfolio
  • Liaising with other facilities and lines of business to ensure a balanced consistent delivery of recreation programs
  • Liaise and network with municipalities and private companies to benchmark programs and industry trends
  • Complete ongoing research, acquiring knowledge and expertise related to industry trends pertinent to portfolio
  • Conduct program quality assurance through ongoing program visits and observations, customer engagement and participation experience
  • Adhere to program development and brochure development processes
  • Monitor program registration and waitlists, and make necessary modifications as required
  • Execute action plans to meet targets and potential growth
  • Assist Recreation Coordinator, Planning with marketing and business plan
  • Attend school events, such as open houses, parent nights, and registration days, to support program participation and development
  • Form and implement action plans to meet targets and potential growth
  • Manage adherence of governing legislations and regulations; corporate policies, procedures, standards and guidelines; governing body’s standards and guidelines.
  • Monitor needs of the community and industry trends to create, develop, redesign, adapt programs, services and/or events
  • Assist customers, citizens, and community groups in selecting appropriate programs, services, and events to meet their needs

5. Budget

  • Monitor and report on expenses and revenue actuals and forecast according to portfolio
  • Purchases and manage inventory of program supplies and materials
  • Manage current budget of expenditures related to program area ensure budget compliance meet necessary sign offs and approvals

Mandatory Certifications, Designations or Licences

  • Current Standard First Aid/CPR-C
  • Valid Ontario non-probationary Class G Driver’s License and have access to a vehicle
  • Able to work variable, scheduled hours including evenings and weekends

Aquatics: Must possess and maintain current certifications as follows:

  • National Lifeguard – Pool
  • Standard First Aid & CPR C
  • Airway Management
  • Lifesaving Instructors
  • Lifesaving Swim Instructors
  • Aquatic Supervisory Training or Aquatic Management Training
  • The following certifications are considered an asset:
  • Advanced Instructors
  • Bronze Cross Examiner
  • First Aid Instructor/Examiner
  • National Lifeguard Instructor/Examiner
  • Airway Management Instructor/Examiner
  • Lifesaving Society Instructor Trainer
  • Lifesaving Society Swim Instructor Trainer
  • Pool Operators
  • Aquatic Fitness Certification (e.g. CALA, Water Art or equivalent)

Fitness:

  • Current FIS or PTS certification with CanFit Pro and/or CSEP and/or equivalent certification with recognized affiliation

Ski/Snowboard:

  • Level 3 Certification with the Canadian Ski Instructors Association (CSIA) or Level 2 Certification with the Canadian Association of Snowboard Instructors (CASI)
  • Level 1 Certification with the Canadian Ski Coaches Federation (CSCF)

Golf:

  • Professional Golf Management diploma and full Class “A” Certification
  • PGA of Canada Class A member

Gymnastics:

  • NCCP Coaching Certificate
  • Gymnastics level 2

Preferred Certifications, Designations or Licences

Bronze Cross Examiner, National Lifeguard Instructor, National Lifeguard Examiner, First Air Instructor, First Aid Examiner, BOAT Instructor, Boat Rescue Instructor, Instructor Trainer

Selection Criteria:

  • Degree or diploma preferably in related field (i.e. Recreation & Leisure, Kinesiology, Phy s i ca l Education)
  • 2 years of related programming and planning experience
  • 1 year of supervisory experience
  • Working knowledge of related legislation, in applicable area of discipline
  • Proficiency in MS Office
  • Customer service skills and experience
  • Written and oral communication skills
