TITLE: PAYROLL CLERK - 35 Hours

DEPARTMENT: Payroll Department

REPORTS TO: Payroll Supervisor

SUMMARY:

With a minimal direction, the Payroll Clerk is responsible for processing the TTOC/TUC pay, the Maternity and Compassionate Leave top-up pays, and the Summer School pay. The Payroll Clerk provides assistance with the CUPE and the Teachers' pay and works cooperatively with other employees and the public.

DUTIES:

  • Checks and extends timesheets and documents to ensure accuracy and appropriateness.
  • Checks timesheets and adjustments against edits to ensure accuracy.
  • Provides assistance to other payroll staff and assists with project work as required.
  • Inputs and retrieves data on the computer such as information relating to new employees, changes in employee status, hours worked.
  • Maintains an up to date knowledge of employee contracts and collective agreements.
  • Maintains records and makes necessary adjustments for items such as sick leave, increments, absentees, income tax, Workers' Compensation Board.
  • Answers enquiries and relays messages to and from staff, external agencies and the public by computer, telephone, mail, facsimile, or in person.
  • Files and sorts a variety of materials such as timesheets, payroll reports and memoranda.
  • Duplicates, sorts, collates and staples materials.
  • Lifts and moves office and paper supplies in print room and in general office area.
  • Performs other clerical or emergent duties.
  • Co-ordinates and organizes workload.
  • Cancels and reissues paycheques through payroll system.
  • Produces reports for department.
  • Liaises with school secretaries and Human Resources Department staff regarding payroll changes and form completion.
  • Ensures general ledger account numbers are valid for time sheets.
  • Extracts, prints and distributes time sheets and pay statements and records of employment as required and insures that pay and deduction calculations are correct.
  • Generates pay calculations, produces payroll registers and produces payroll.

REQUIRED KNOWLEDGE, ABILITY, SKILLS (Payroll Clerk)

  • High school graduation or equivalent.
  • Completion of 4 courses equivalent to PCP (Payroll Compliance Program).
  • Two years experience working with a large automated payroll environment within the past four years.
  • Intermediate level knowledge in Word and Excel.
  • Intermediate level knowledge of database and computer functions
  • Keyboarding skills of 50 words per minute or proof of competency in keyboarding skills.
  • Proficient in numeric keypad skills.
  • Familiar with the payroll applications related to union agreements, Statutory requirements, Revenue Canada and WCB regulations.
  • Knowledge of Business English, punctuation, spelling and Business Math.
  • Knowledge of office practices and procedures.
  • Ability to use courtesy and tact in the explanation of and discussion of information in contacts with public, parents, staff and students.
  • Ability to perform individually and as part of a team.
  • Ability to effectively communicate both verbally and in writing.
  • Ability to plan and schedule work and organize the workload effectively.
  • Ability to work with constant interruptions.
  • Ability to maintain close attention to detail for periods of sustained duration and to meet

deadlines.

TOOLS AND EQUIPMENT USED

Computer, photocopier, telephone, facsimile machine, typewriter, answering machine, calculator, printer and other office related equipment.

PHYSICAL ABILITIES

  • Sufficient vision to operate computer.
  • Fundamental ability to operate office equipment.
  • Manual dexterity.
