At FIKA we provide exceptional service in a variety of welcoming, intuitive, and diversified store environments, this has allowed The FIKA Company retail family to evolve into the destination for every type of cannabis consumer Reports To: Director, Payroll, Benefits & HRIS – Finance & Reporting Location: Toronto, ON About the Role The Senior Payroll Administrator is responsible for supporting and executing high-volume, multi-jurisdictional bi-weekly payroll operations in a fast-paced and rapidly growing organization. This role plays a critical part in ensuring payroll accuracy, compliance, reporting integrity, and exceptional team member support across the business. The ideal candidate is highly detail-oriented, thrives in a transactional environment, and possesses strong analytical and organizational capabilities. This role requires experience managing large employee populations, complex payroll changes, and tight processing timelines, while maintaining confidentiality and compliance with payroll legislation and company standards. As The FIKA Company continues to expand through organic growth and acquisitions, this role will also support payroll integration activities related to mergers and acquisitions (M&A), onboarding newly acquired employee groups into payroll systems and processes. What You’ll Do: Competencies and Requirements Strong attention to detail with a high level of payroll accuracy and data integrity Proven ability to manage high-volume transactional payroll environments Ability to maintain strict confidentiality and discretion with sensitive information Excellent organizational and time management skills with the ability to prioritize competing deadlines Strong analytical and problem-solving skills Effective verbal and written communication skills Service-oriented mindset with strong internal customer support skills Ability to work independently while collaborating effectively within a team environment Adaptable and agile in a fast-paced, evolving organization Strong systems aptitude with the ability to learn and navigate new technologies quickly Essential Duties and Responsibilities Support and execute end-to-end multi-jurisdictional payroll processing for large employee populations across multiple provinces Process and verify payroll transactions including new hires, terminations, promotions, transfers, leaves, bonuses, commissions, retroactive payments, and payroll adjustments Ensure payroll accuracy through balancing, auditing, and reconciliation activities prior to payroll submission Assist with high-volume payroll administration while meeting strict payroll deadlines and compliance requirements Process off-cycle payrolls, manual payments, and payroll corrections as required Prepare and submit Records of Employment (ROEs) accurately and within legislated timelines Support benefits administration, payroll deductions, and reconciliation activities Maintain payroll records and documentation in accordance with privacy legislation and internal retention standards Respond to payroll inquiries from employees and business leaders in a timely and professional manner Generate payroll reports and assist with ad hoc reporting requests, audits, and data analysis Support year-end payroll activities including T4 balancing, reconciliations, and year-end adjustments Assist in maintaining vacation accruals and payroll-related reporting integrity Contribute to payroll process improvements, documentation updates, and Standard Operating Procedures (SOPs) Support payroll integration activities related to mergers, acquisitions, and organizational growth initiatives Collaborate cross-functionally with HR, Finance, Benefits, and operational leaders to ensure payroll accuracy and compliance Provide backup support and guidance within the payroll team as required Other duties and projects as assigned Requirements Payroll Compliance Practitioner (PCP) designation preferred; or PCP certification in progress will be considered Minimum 3+ years of progressive payroll experience in a high-volume transactional payroll environment Preference given to candidates with experience processing payroll for 1,000+ retail employees across multiple jurisdictions, as well as unionized environments Previous experience supporting retail payroll activities related to mergers & acquisitions (M&A) or business integrations is strongly preferred Experience with Ceridian Dayforce is strongly preferred Intermediate to advanced Excel skills, including reporting and data reconciliation functions. Strong understanding of Canadian payroll legislation, employment standards, and payroll compliance requirements Why you’ll love working here The people who do best here are builders.
