Administrative Coordinator This is an existing, full-time, in-office position based in our Vancouver office.
About Us The Nature Trust of British Columbia (NTBC) is a leading non-profit land conservation organization dedicated to conserving BC’s biodiversity through securement, restoration, and management of ecologically significant lands. Since 1971, we have secured over 180,000 acres of ecologically significant land. The treasured landscapes we have protected forever include the Xwésam (Salmon) River on Vancouver Island, Boundary Bay in the Lower Mainland, White Lake Basin in the Okanagan, and the 10,000-acre Hoodoos conservation complex in the Kootenays. The Finance and Administration team is seeking an organized and resourceful individual who has strong interpersonal skills to be our Vancouver Administrative Coordinator.
About the Role You’re a highly organized and detail-oriented person who believes in NTBC’s mission to protect BC nature for future generations of wildlife, plants, and people. As our Administrative Coordinator, you will report to our Operations Manager, and strengthen the way we work together by providing front office, executive, and human resources support. The Administrative Coordinator will provide daily front desk support at our Vancouver office. This role is people focused and will require you to interact with donors, staff, senior management, and Board members regularly. This is a dynamic role; as well as being an NTBC ambassador, you will coordinate daily office operations, coordinate calendars with the CEO, support event logistics, and process payroll and overtime.
Responsibilities Reception and Office support which includes managing inboxes and mail, answering the phone, and welcoming visitors. Office operations which includes office maintenance and operational projects. Executive support which includes supporting calendar management, and expense reports/credit card reconciliation. HR support which includes supporting hiring and onboarding, payroll, and maintaining the HRIS. Complete other relevant directives as needed
Role Requirements Minimum of 3 years of relevant experience in a similar administrative role. Experience with Microsoft Office 365 suite of applications. Detail orientated and a problem-solver. Highly organized with ability to manage deadlines. Strong interpersonal and social skills. Ability to consistently communicate and engage with colleagues and community partners in ways that uphold dignity, prevent harm, and support both physical and psychological safety. Eligibility: Must be legally entitled to work in Canada, and willing to provide a Criminal Record Check. Willing to occasionally work after hours to attend NTBC fundraising events.
Preference will be given to candidates who have Experience supporting an executive team. Familiarity with Canadian payroll and BC Employment Standards Act. Competency in the use of postage meters, phone systems, etc. Familiarity with BambooHR. Experience working with Indigenous Groups and First Nations, community partners, and other stakeholders in a collaborative environment.
What We Offer NTBC is proud to offer generous vacation allowances, a robust health and dental plan, and an RRSP matching program. The salary range for this role is $54,000-$58,000. Schedule: 5hrs/week, 7.5 hour days (Monday-Friday). In office work, with consideration to working from home 1 day per week. Vacation starts at 15 days per year. One position is available.
