POSITION SUMMARY
The Human Resources Assistant provides administrative, operational, and coordination support to the Human Resources Department and directly supports the HR Manager & Privacy Officer. This role is responsible for assisting with recruitment coordination, employee onboarding and offboarding, benefits administration, HRIS management, personnel file maintenance, internal communications, and employee engagement initiatives.
The Human Resources Assistant acts as a key point of contact for employees and applicants, ensuring professional, confidential, and efficient HR support services. This role requires strong organizational skills, discretion, adaptability, and a commitment to maintaining accurate records and positive workplace relationships.
KEY RESPONSIBILITIES
ADMINISTRATIVE & DEPARTMENTAL SUPPORT
- Provide day-to-day administrative support to the HR Manager & Privacy Officer.
- Coordinate calendars, meetings, interviews, and departmental scheduling.
- Prepare correspondence, meeting notes, reports, and HR documentation.
- Assist with drafting internal communications, memos, and monthly newsletter submissions.
- Maintain organized digital and physical filing systems using SharePoint, OneDrive, and departmental databases.
- Support departmental projects, audits, and reporting requirements.
- Utilize AI-supported administrative tools to assist with meeting summaries, interview recaps, and workflow organization.
RECRUITMENT & ONBOARDING
- Assist with recruitment processes including posting vacancies, screening applications, scheduling interviews, and communicating with candidates.
- Support onboarding and orientation processes for new employees.
- Prepare employment letters, onboarding packages, and required documentation.
- Coordinate employee offboarding processes and records management.
- Support hiring managers with interview coordination and candidate tracking.
HRIS & PERSONNEL ADMINISTRATION
- Maintain accurate employee records within HRIS platforms such as CollageHR and HealthboxHR.
- Process employee status changes, leave tracking, onboarding documentation, and employee updates.
- Ensure personnel files remain confidential, organized, and audit-ready.
- Support records retention and privacy compliance standards.
- Assist with maintaining HR databases, trackers, and reporting systems.
BENEFITS ADMINISTRATION
- Coordinate employee benefit enrollments, changes, and terminations in collaboration with benefits providers and Payroll.
- Assist employees with routine benefits-related questions and provide support with enrollment forms and documentation.
- Maintain accurate benefits records and ensure timely processing of updates related to employee status changes.
- Liaise with benefit carriers regarding employee coverage, eligibility, and administrative inquiries.
- Support annual benefits reviews, audits, and employee communications related to benefits and wellness programs.
EMPLOYEE SUPPORT & COMMUNICATION
- Serve as a first point of contact for routine HR-related inquiries.
- Provide professional, respectful, and confidential support to employees and applicants.
- Liaise with Finance and Payroll regarding employee changes, onboarding, payroll documentation, and benefit updates.
- Promote positive employee relations and a welcoming workplace culture.
- Maintain professionalism and discretion when handling sensitive or confidential information.
STAFF ENGAGEMENT & WELLNESS
- Assist with planning and coordinating employee appreciation activities, wellness initiatives, and staff events.
- Support culturally relevant engagement activities that reflect LNIB values and traditions.
- Assist with setup, coordination, and logistics for meetings, celebrations, and community events.
- Encourage positive workplace morale and employee engagement initiatives.
COMPLIANCE & OPERATIONAL SUPPORT
- Assist with maintaining compliance with organizational policies, employment standards, and privacy legislation.
- Support quarterly personnel file audits and records reviews.
- Participate in cross-training opportunities to support payroll or administrative coverage as needed.
- Help maintain confidentiality standards in alignment with PIPEDA and organizational privacy practices.
- Support the HR Manager & Privacy Officer with additional departmental priorities as assigned.
QUALIFICATIONS
- Certificate, diploma, or coursework in Human Resources, Business Administration, or a related field is considered an asset.
- Combination of education and relevant administrative experience may be considered.
- Experience working in an administrative or HR support role preferred.
- Experience using HRIS or HCM systems such as CollageHR or HealthboxHR is considered an asset.
- Familiarity with employee benefits administration is considered an asset.
- Ability and willingness to complete a Criminal Record Check.
KNOWLEDGE, SKILLS & ABILITIES
- Proficiency with Microsoft 365 Suite including Outlook, Teams, Word, Excel, SharePoint, and OneDrive.
- Strong organizational skills with excellent attention to detail and accuracy.
- Effective verbal and written communication skills.
- Ability to manage multiple priorities and maintain confidentiality.
- Strong interpersonal skills with a customer-service-oriented approach.
- Ability to work independently and collaboratively within a team environment.
- Experience using AI-supported administrative tools, is considered an asset.
- Understanding of Indigenous cultural values, traditions, and protocols is highly valued.
- Knowledge of HR administration, employee onboarding processes, and benefits coordination practices is an asset.
WORKING ENVIRONMENT
- This position is primarily on-site in Merritt, British Columbia.
- High-volume work periods may occur during recruitment cycles, payroll deadlines, benefits administration periods, and organizational initiatives.
- Some lifting, event setup, and movement of supplies may be required for staff events and engagement activities.
- Flexible work arrangements may be considered following successful completion of the probationary period and operational needs.
