Job Description: The Administrative Assistant is responsible for coordinating key administrative, financial, and workforce functions within the organization. This role manages accounts receivable and accounts payable processes, staff scheduling coordination, reception services, and the day-to-day administration of the office. The position also provides confidential administrative support to the CEO and the Manager of Clinical & Resident Programs.

Key Responsibilities:

  • Manage accounts payable, including invoice verification, coding, entry, and timely payment processing.
  • Manage accounts receivable, including invoicing, payment tracking, deposits, and follow-up on outstanding balances.
  • Coordinate and maintain an electronic staff scheduling system in collaboration with department managers.
  • Ensure schedules are accurate and in accordance with operational requirements and collective agreements where applicable.
  • Manage daily office operations to ensure an organized and efficient workplace.
  • Provide a welcoming and professional first point of contact for residents, families, staff, and visitors.

Human Resources Exemption: No

Education

  • Diploma or certificate in Business Administration, Accounting, Office Administration, or a related field preferred.

Experience

  • Minimum 3–5 years of experience in an administrative, financial, or office coordination role.
  • Experience with accounts payable and receivable processes.
  • Experience with staff scheduling systems is an asset.
  • Experience working in healthcare, long-term care, or non-profit environments is considered an asset.
