SSA Marine is seeking a Payroll Coordinator to join our Tymac team! This full-time, permanent position is based at our office in North Vancouver and will report to the Senior Payroll Lead.
The Position
The Payroll Coordinator is primarily responsible for supporting the accurate and timely processing of payroll for approximately 160 employees across British Columbia and Quebec, including about 120 union employees in BC and 40 employees in Quebec. The role also provides cross-coverage support for other payroll areas and may occasionally step in to assist during peak periods, absences, and critical payroll deadlines.
You will be part of a motivated and diverse team and will have a high degree of interaction with all employees throughout the organization.
Responsibilities & Activities
- Administer and maintain the electronic timekeeping system, including employee setup, updates, and terminations.
- Accurately enter and validate union labour hours from timesheets for bi-weekly payroll processing.
- Process end-to-end payroll for BC and Quebec employees, including regular and special earnings, adjustments, and final pay.
- Administer union payroll in compliance with Collective Agreements, including payroll adjustments and union-specific requirements.
- Review timesheets, dispatch records, schedules, and attendance data to ensure payroll accuracy and completeness.
- Manage garnishments, deductions, benefits, pension contributions, union remittances, and payroll reconciliations.
- Maintain employee payroll records and process payroll changes such as hires, terminations, rate changes, banking updates, and union status changes.
- Investigate and resolve payroll discrepancies, respond to employee payroll inquiries, and support payroll compliance requirements, reporting, and year-end activities.
- Provide cross-functional payroll coverage during absences, peak periods, and high-volume payroll cycles while supporting process improvements and documentation updates.
- Coordinate with HR, Finance, managers, and operational teams, maintain audit-ready payroll documentation, and assist with payroll reports, employee letters, and administrative requests.
Qualifications & Skills
This role requires regular communication with the Senior Payroll Lead, Finance, HR, managers, operational teams, and employees to support accurate payroll processing, resolve issues, and respond to payroll-related inquiries. The position also liaises professionally with external stakeholders, including payroll providers, benefit vendors, and government agencies, to ensure effective payroll administration and compliance.
The qualifications and skills to be successful in this position include:
- Minimum 3+ years of payroll experience, preferably in unionized and multi-provincial environments, with BC payroll experience required and Quebec payroll experience considered an asset.
- Strong knowledge of union payroll administration, collective agreements, Canadian payroll legislation, statutory deductions, and payroll best practices.
- Experience with payroll systems such as Dayforce and ADP; PCP designation and post-secondary education in payroll, accounting, HR, business, or a related field are assets.
- Proficient in Microsoft Office, particularly Excel, with strong skills in payroll data analysis, reconciliations, lookups, and reporting.
- Knowledge of group insurance, pension administration, vacation pay calculations, union dues remittances, seniority-based payroll provisions, and payroll compliance requirements.
- Highly organized and detail-oriented, with strong analytical, problem-solving, time management, and communication skills.
- Ability to maintain confidentiality, exercise sound judgment, and provide professional, customer-focused service to employees and stakeholders.
- Capable of managing multiple priorities, working under pressure, meeting strict deadlines, and adapting quickly in a fast-paced environment.
- Able to work independently, accurately apply payroll rules, resolve payroll issues, and appropriately escalate complex matters.
- Comfortable working in a hybrid office environment requiring sustained concentration, high attention to detail, and occasional extended hours to meet payroll deadlines.
