Hours: 1.0 FTE, 37.5 hours per week, permanent full-time

Position Summary

Reporting to the HR Manager, the HR Coordinator brings enthusiasm and a proactive approach to supporting the day-to-day administrative and transactional functions of the Human Resources department. This role plays a key part in ensuring smooth HR operations and a positive employee experience.

Core responsibilities include facilitating new hire orientation and coordinating all pre and post related tasks, processing employee changes, managing HR correspondence, and serving as the first point of contact for employees.

The HR Coordinator will also contribute insights and feedback to help ensure HR practices remain compliant, effective, and aligned with best practices in supporting a strong people and culture strategy.

Duties and Responsibilities

  • Facilitate and lead new hire orientation sessions for new employees, ensuring a smooth onboarding experience.
  • Process internal employee movement changes in accordance with internal protocols.
  • Serve as the first point of contact for general employee inquiries, providing accurate information and guidance in a professional and timely manner.
  • Monitor and manage the HR department email inbox, ensuring timely responses and follow-up.
  • Collaborate with the HR team and departments such as Payroll and Benefits to deliver effective, timely, and supportive service across the organization.
  • Coordinate and support the daily operations of the Human Resources department.
  • Provide clerical and technical assistance for various HR programs and initiatives.
  • Oversee and coordinate all aspects of the employees initial onboarding process.
  • Maintain accurate and well-organized employee records, ensuring data integrity and adherence to standardized document naming conventions as needed.
  • Review and maintain current job descriptions.
  • Assist with annual performance review process.
  • Assist with maintaining and updating HR-related content on the company intranet site.
  • Conduct exit interviews and stay interviews for non-administrative staff; provide summaries, analysis, and recommendations to the HR Manager.
  • Investigate and document internal system breaches.
  • Assist the HR Manager with special projects and initiatives.
  • Provide backup support to the HR Assistant & the HR Recruiter as needed.
  • Perform additional duties as assigned to support the success of employees and the overall business.

  • Proficient in Microsoft Office 365 and adaptable to using various digital tools and technologies.
  • Able to work both independently and collaboratively as part of a team.
  • Ability to interpret, apply, and support the implementation of company policies and procedures.
  • Maintain a high level of confidentiality, discretion, and professionalism in all interactions.

Qualifications

  • Genuine passion for people, workplace culture, and contributing to the development of a strong, engaged team.
  • Post-secondary studies in Human Resource Management (completed or in progress) is preferred.
  • A minimum of 1-2 years of professional experience in a Human Resources role.
  • Solid understanding of Alberta Employment Standards, Human Rights legislation, and other relevant HR compliance requirements.
  • Experience with ADP Workforce Now is considered an asset.
  • Interest in pursuing CPHR designation is an asset.
  • Willingness and ability to travel to various clinic locations as required.
  • Must be able to provide a clear Criminal Record Check.
