Job summary
Key Responsibilities Serve as the internal point of contact for the company's work permit sponsorship, coordinating each stage of the process with our immigration law firm (documentation requests, forms, deadlines). Track sponsorship-related deadlines and required documentation, keeping internal stakeholders and the incoming employee informed and on schedule. Gather, organize, and maintain the paperwork and records needed to support the sponsorship application. Act as a liaison between the sponsored employee, internal stakeholders, and the law firm. Own day-to-day HR administration: onboarding support, employee records, policy documents, and scheduling. Support broader recruitment and HR coordination tasks as time allows (interview scheduling, candidate pipeline upkeep, etc.). Maintain strict confidentiality of sensitive immigration and personnel information. What We're Looking For 1–3 years of experience in an HR, People Operations, or administrative coordination role. Highly organized and detail-oriented, with a track record of managing deadline-driven, paperwork-heavy processes. Strong written and verbal communication skills. Comfortable working independently in a part-time role and coordinating with an external partner (our law firm). Based in Ontario, Canada, and able to work Toronto-area hours; open to candidates based elsewhere in Ontario. Available to start immediately. Nice to Have Prior exposure to Canadian immigration processes (LMIA applications, work permits) — not required, but a plus. Experience working in a small or growing company.
