Position Summary:

Working as part of the Shared Services Payroll team for Ontario properties, and under general direction of the Senior Manager Payroll, the Payroll Specialist is responsible for ensuring accurate and timely processing of full-cycle payrolls and related reports. The Payroll Specialist will be accountable for assigned payroll service areas or client groups within the Shared Services environment, with the objective of providing Service Excellence to our properties and an exceptional experience to our team members in the province of Ontario.

Key Accountabilities:

  • Accurately reviews and processes payroll in accordance with company, regulatory and collective agreement requirements
  • Processes statutory remittances, benefit premium calculations, pension remittances and year-end reporting while establishing priorities within strict mandated and multiple timelines
  • Processes manual/off-cycle pays as required
  • Processes various regulatory reporting, including ROEs, WSIB remittances and wage garnishments
  • Processes new hires, terminations and team member changes in accordance with the Company’s policies and requirements
  • Verifies completed payrolls and reviews reports for accuracy and completeness before distribution
  • Works closely with Payroll Administrators and ensures accuracy and completeness of their work
  • Records and maintains team member payroll information accurately, ensures proper authorization and adherence to Company policies, including compliance for any changes to be made to team member records
  • Reviews payroll pre-processing reports prior to transmission to ensure accuracy of all information and follows-ups on and resolves discrepancies in a timely manner
  • Runs payroll and reviews post-payroll reports for accuracy
  • Ensures accurate tax payment for all payroll activities which requires a thorough understanding of satutory requirements for all federal and provincial tax agencies
  • Completes year-end tax forms and reporting, as well as amendments, as required
  • Resolves issues with and identifies patterns, trends and root causes – may be required to work as part of a cross-functional team to correct causes of issues
  • Prepares payroll and benefits journal entries for approval and posting
  • Develops and cultivates strong working relationships with all stakeholders; including team members, shared services, site Human Resources and operations management, and members of the Technology Services Group, as applicable
  • Performs other duties as assigned

Education and Qualification Requirements:

  • Post-secondary education in Business or Finance along with a minimum of 5 years end to end payroll experience or a suitable combination of education and experience
  • Experience working in a large organization with multiple collective agreements
  • Knowledge of Payroll, Benefits and Human Resources processes and requirements
  • Solid skills in MS Office application, including excellent Excel skills
  • Experience working with Oracle HCM Cloud an asset
  • Experience in a shared services environment an asset
  • Knowledge of time and attendance systems, including Kronos and Virtual Roster an asset
  • Accurate in data entry activities, with numerical literacy and a drive for automation
  • Able to work in a fast-paced environment and balance multiple completing priorities
  • Critical thinker with the willingness to learn and develop
  • Excellent customer service and communication skills
  • Resourceful and independent, with a “can do” attitude and approach
  • Payroll Compliance Practitioner (PCP) Certification is an asset
  • Ability to maintain at all times a high degree of confidentiality and discretion
