Clerical Support I (Human Resources)

One (1) temporary, full-time contract position

This clerical support role with Peel Regional Police – one of Canada's most progressive police services – will be of special interest to a well-organized individual who is skilled in MS Word, Excel and Outlook, and able to safeguard the confidentiality of all personnel matters.

As part of our Human Resources administrative support team, you will demonstrate your strong detail orientation as you perform a variety of clerical, data entry and filing duties related to the maintenance of employee personnel files, as well as provide support to other Human Resources units.


More specifically, as Clerical Support I, you will:

  • Scan and/or import documents to appropriate employee corporate personnel files within the Laserfiche system.
  • Maintain and update Human Resources Management System (HRMS) employee data, such as employee recognition, discipline, address, telephone and emergency contact information.
  • Generate confirmation of employment letters and various reports from HRMS and/or SharePoint, and modify the reports using word-processing and spreadsheet computer applications software.
  • Respond to telephone and in-person inquiries from employees pertaining to general Human Resources topics such as personnel files, benefits, payroll, performance appraisals, STD/LTD and WSIB, and redirect as appropriate.
  • Open, sort, log and distribute all incoming mail and faxes.
  • Produce employees' Photo Identification cards in those cases where cards are lost or stolen, employees are promoted or the employee name changes.
  • Respond to, and co-ordinate requests from, both internal employees and external parties for copies of corporate personnel files, and ensure the file is complete and up-to-date.
  • Provide clerical support to other HR units, including photocopying, sorting, filing, scanning, faxing, distributing correspondence, pay advices and/or drug cards, and preparing retirement meeting packages.
  • Schedule pool vehicle and HR meeting room bookings.
  • Coordinate the storage of the departmental administrative files, ensuring file integrity with respect to access within the enclosed file room, and ensuring appropriate purging in accordance with prescribed procedures.
  • Ensure appropriate levels of office and photo identification supplies are maintained, and arrange for service and maintenance of office equipment.


In the role of Clerical Support I, you will apply the following education, experience and skills:

  • A High School Diploma or equivalent, plus additional Office Administration/Human Resources course(s) and/or training, or an equivalent combination of education and experience.
  • A minimum of one (1) year of related experience.
  • Intermediate skills in MS Word and MS Excel.
  • MS Outlook skills.
  • Demonstrated knowledge of a Human Resources Management System (HRMS).
  • Well-developed keyboarding and data entry skills.
  • Effective oral communication and interpersonal skills.
  • Demonstrated organizational skills.
  • Attention to detail.
  • Ability to work effectively in a highly confidential and sensitive environment.
  • Valid Ontario Driver`s Licence (Glass G) with full driving privileges
  • Ability to successfully complete the following tests: MS Excel; Filing; Grammar; MS Outlook; Spelling; Vocabulary; MS Word; and Speed & Accuracy Typing.

The wage rate for this temporary (1-year term), full-time contract is $22.65 per hour.
