Key Responsibilities

Immigration

  • Provides day-to-day support to employees in all aspects of the provision of immigration legal services and acts as point person with immigration authorities and/or external immigration support service providers, as applicable.
  • Coordinates, plans, drafts and submits a variety of immigration applications, support letters and other materials, including NAFTA work permits, intra-company transferee work permits, bridging open work (“BOW”) permits, Provincial Nominee Program applications, Express Entry profiles, business visitor applications, TN, H1-B, L1 visas and OPT visa conversions, etc. Liaises with external immigration counsel, as needed.
  • Works closely with HR Business Partners (“HRBP”) and proactively identifies immigration issues and strategies in advance of employment offers being presented.
  • Tracks work permit expiry dates and relevant data, ensuring that time-sensitive issues are actioned in a timely manner and all deadlines are met throughout the immigration process.
  • Maintains all documents and files related to immigration activities.
  • Provides ongoing communication and guidance to employees throughout the immigration application process.
  • Maintains knowledge of current US, Canadian, and other relevant immigration practices and legislation and actively participates in continuous improvement efforts.

Mobility

  • Partner with HRBP to understand the talent landscape so that we can proactively support with their mobility needs and provide candidates with information regarding their mobility package.
  • Provides support to employees with regard to immigration and relocation cases, including new hires and internal employees.
  • Identifies opportunities to streamline and/or create scalable, global processes; work with stakeholders to create, document, implement, and educate on new processes.
  • Understand legislative changes that may influence changes to our relocation guidelines or policies.
  • Partner with HRBP to engage relocation specialists to assist in smooth relocation as needed and understand relocation budgets.

Other Responsibilities

  • Assists Legal team with respect to matters other than non-immigration and mobility, as needed.
  • Assists with the drafting of correspondence and various agreements, including confidentiality, consulting and master services agreements, and amendments thereto.
  • Prepares application forms and various documents required for business qualification or registration in various jurisdictions; liaises with corporate counsel to file such documents with relevant authorities; tracks deadlines and files documents required to maintain good standing.
  • Assists with and maintains corporate records and constating documents with respect to business qualification or registration in various jurisdictions, including corporate resolutions, annual reports, business licenses etc.
  • Works with other members of the Legal team on special projects and cross-functional initiatives, as needed.
  • Fosters effective and collaborative working relationships with fellow employees, management and external partners.

Qualifications and Experience

  • University degree and a minimum of 5 years’ related experience or an equivalent combination of education and experience. Member in good standing of ICCRC. Experience as in the immigration, law and/or human resources departments of a law firm or a corporation is an asset.

Skills and Abilities

  • Proven interpersonal skills with the ability to work collaboratively as a member of cross-functional team. Ability to establish and maintain effective working relationships.
  • Exceptional organizational skills and the ability to work effectively in a high-paced, fast-changing environment. Results-oriented.
  • In-depth knowledge of Canadian immigration processing categories and requirements. Significant exposure to and knowledge of US immigration requirements. Exposure to and knowledge of immigration requirements in the EU and/or one or more Asian/Pacific jurisdictions is an asset.
  • Strong oral and written communication skills and the ability to present information in a clear and organized manner.
  • Excellent attention to detail and commitment to accuracy.
  • Proficiency with MS Office.
